To add a checkbox in Excel, select the cells you want and go to Insert > Checkbox. The box sits inside the cell and holds TRUE when it’s ticked and FALSE when it’s empty. The feature is part of Microsoft 365 on Windows and Mac. If the button isn’t on your ribbon, there is an older route through the Developer tab, covered further down.

How to insert a checkbox in Excel

Microsoft’s instructions come down to two steps, and they are the same on Windows and Mac:

  1. Select the range where you want checkboxes. That can be one cell or a whole column of items, such as A2:A20.
  2. On the Insert tab, click Checkbox.

Every selected cell gets a box at the same time. If you also work in Word, the same save-the-clicks thinking applies to our guide on deleting a blank page in Word. So type your list of items first, then select the column next to it and insert once. You don’t have to repeat the command for each row.

How to tick and untick a box

Click the box. You can also select one or more checkboxes and press the Spacebar, which flips every selected box at once. If you’re filling out a long list, that shortcut saves a lot of mouse aiming. Once the list is final and you want to send it, our guide on combining PDFs helps you bundle everything into one file.

How to delete a checkbox

Select the cells and press Delete. It works in two stages. If any box is ticked, the first press only unticks it. Once every box is empty, the next press removes the boxes. If you pressed Delete and only the checkmark disappeared, press it again.

To remove the box but keep the TRUE or FALSE value in the cell, select the range and use Home > Clear > Clear Formats. That command also strips other formatting from those cells, such as fill color and font, so be careful on a sheet you’ve already styled.

What a checkbox stores and how to use it in a formula

Under the square there is a logical value. Ticked, the cell equals TRUE. Unticked, it equals FALSE. Any formula that points to that cell gets one of the two.

Microsoft’s own example, with the checkbox in cell A1, is:

=IF(A1,"Checked","Unchecked")

To count how many items on a list are ticked, you can use COUNTIF with TRUE as the criterion: =COUNTIF(A2:A20,TRUE). That lets a summary cell say “7 of 19 tasks done” and update itself as you click.

Ideas for using them

Microsoft lists checklists, task management and quick data visualization as uses. A few simple examples, all of which work the same on a Windows PC or a Mac: a grocery list, a packing list for a trip, a tracker for which monthly bills you’ve paid, or a roster of who has turned in a form.

The Checkbox button is missing: what to do

Microsoft says that as of January 2026 the feature was fully rolled out to Current Channel, Monthly Enterprise Channel and Semi-Annual Channel users on Windows and Mac desktop. On the web and on mobile (iPad, iOS and Android), it was available to people on Production builds. Some commenters on the announcement reported the button missing even on builds that should have it.

To check where you stand, open File > Account and look at your subscription type, update channel and version. Updating Excel is the first thing to try. If you’re not sure which Windows version you’re running, our guide to checking your Windows version shows where to look.

The older method: form controls

If the button still doesn’t show, the form-control checkbox has been in Excel for decades:

  1. Turn on the Developer tab, which is hidden by default, in the Excel ribbon options.
  2. On the Developer tab, click Insert and choose Check Box under Form Controls.
  3. Click the spot on the sheet where the box should appear.

Form controls work with Excel macros. They float above the sheet instead of living inside a cell, and Microsoft notes that this kind of control doesn’t work in Excel for the web. To use it, open the file in the desktop app with Editing > Open in Desktop App from the web version.

Frequently asked questions

Do checkboxes work in Excel on a phone?

Microsoft says the feature reached web and mobile for people on Production builds of Microsoft 365. If it’s missing, update the app.

Can I add an Excel checkbox without the Developer tab?

Yes. Insert > Checkbox doesn’t depend on it. The Developer tab only comes into play with the older method.

How do I tick several checkboxes at once?

Select the cells that contain boxes and press the Spacebar. Every selected box changes state together.

Is the checkbox available in Excel for Mac?

Yes. Microsoft lists Windows and Mac desktop among the platforms where it has rolled out, for Microsoft 365 subscribers on the Current, Monthly Enterprise and Semi-Annual channels.

Does a checkbox erase the cell’s value?

No. The cell keeps holding TRUE or FALSE, and that’s what formulas read. Only Clear Formats removes the square and leaves the value behind.
